Understanding Billing Based on Attendance

Childcare providers can easily use attendance-based billing to create invoices based on the hours, minutes, or days a child attends. This helpful feature makes it simple to ensure accurate billing and keeps your operations running smoothly!




1. From the Web App, navigate to the Parent Billing.


2. Click "Billing programs"



3. Click "New"



4. Name the program (e.g., Before Care, After Care).



5. Click "Add Attendance Charge"



6. Delete or remove the previous row



7. You can rename the charge name (e.g., Early Care).



8. Define the charge amount (e.g., $10 per hour).



9. You can create a charge per hour, minute, or day.



10. Specify the time triggers for charges (e.g., from 7 am to 9 am or from 4 pm to 6 pm). There is no need to duplicate sign-in or sign-out times. When a child is signed in at 7 a.m., the early care charge will automatically begin and will stop accumulating once you enter the end time. For example, if a child is signed in at 8 a.m. and signed out at 4:00 p.m., the total charge will be $10. If you charge for aftercare, you can begin the charge at the time you specify and charge per hour or minute.




11. Select how often parents will receive an invoice.



12. Invoices are generated based on attendance up to the previous day. So, if you select to send the invoices on Saturday, the attendance will be based on the previous Saturday to Friday.



14. Select when the first invoice will be generated.



15. Assign to the children.

16. Click "Next"

17. Click "Activate Program"
