How to Create Staff Schedules

To access the Scheduling page for each member of staff, first navigate to their profile by clicking on the Staff name in the Staff > Teachers page, then click on the Schedule link on the left of the page.

The schedule has 3 sections:

  • Regular Schedule: This is for staff who work the same schedule every week. You can specify these hours here, such as 7:00am - 3:00pm, Monday - Friday. They'll be automatically applied for each week. Click on the '+ Add Schedule' button to add a regular schedule.

  • Actual Schedule: This is where you can add modifications to adjust the regular schedule. For example, you can remove hours for a specific day if an employee takes a vacation day, or you can add extra hours if they stay late.

In the 'Actual' schedule section, you can click on a scheduled shift to modify or remove the scheduled shift for that day or click on the + button below a date to add a new schedule for this day. Any sick days or vacations will also be shown on the Actual schedule.

Staff can view their actual schedule via the mobile application. From the menu option, simply select 'Schedule' to view the latest version of the schedule. 

  • Absences & Vacations: Throughout the year, staff will take vacation days and sick days. You can record these in the Absences and Vacations tab. You can either record an absence of a few hours during a day (for instance for a doctor's visit) or an absence of one or several full days (for a vacation or illness). Absences are listed in red in the schedule report and the time-card report.
