How to Enable and Use the AI Assistant

The AI Assistant is a powerful tool designed to help your staff refine their notes and messages with clarity, professionalism, and ease. As an administrator, you can control access to this feature for your team. Here’s how to get started:


 Step 1: Enable AI Assistant Access

To allow your staff to use the AI Assistant, follow these steps:

  1. Go to Settings > Childcare Settings > Security.



2.  Check the box labeled:

“Teacher can use the AI Assistant to refine notes”


This setting ensures that the AI Assistant becomes available when writing documentation or messages.


Step 2: How Staff Access the AI Assistant

Once the feature is enabled, your staff will see the AI Assistant button in the following places:

  • On Notes: While writing or editing a child’s note, the AI Assistant button will appear. Clicking it opens a panel where staff can ask for suggestions, corrections, or improvements.




  • On Messages: While composing a message to a parent or colleague, staff can click the AI Assistant button to improve clarity, tone, or formatting.


 Tip:

Encourage your team to use the AI Assistant to:

  • Refine grammar and structure in notes.

  • Adjust tone for parent communications.

  • Summarize long observations professionally.
